Administrative Assistant Job description

Essential Functions / Key Responsibilities

  1. Maintains strict confidentiality of all security personnel records and employee information.
  2. Assists in the recruiting process to include, including processing applications and new-hire paperwork, interviewing candidates as needed and tracking applicant flow information. 
  3. Maintains personnel records of active and terminated employees according to Company policy. 
  4. Enters new hire information, personnel changes, and payroll information into the HRIS system.  
  5. Answers questions concerning benefits, schedules, uniforms, DGS policy, or employee concerns in a professional and timely manner.  
  6. Coordinates fingerprints for the U.S. Postal Service, badging application for SIDA access, and employee uniform program. 
  7. Maintains schedules compiles reports and prepares billing information.  
  8. Maintains OSHA records and assists in administering on-the-job injury reporting. 
  9. Ensures required posting and corporate information are updated and displayed as required. 
  10. Process internal/external communications to the correct person and/or department.  
  11. In some locations, the Administrative Assistant may be required to assist with ramp, cabin service, operations, and/or training duties. All other duties as assigned. 
  12. Performs other related duties as assigned within the appropriate skill and experience capabilities expected for this position. 

Basic Qualifications 

Pre-requisites: 

  • Must be a local (in-state) resident. 
  • Ability to pass a pre-employment drug screen. 
  • Ability to pass up to a 10-year background check. 
  • Must be at least 18 years of age. 
  • Must have the authorization to work in the United States as defined by the Immigration Reform Act of 1986. 
  • Must complete SIDA training if needed to obtain airport authority identification security. 

Experience: 

  • Must be open-minded and ready to work as part of a detail-oriented team. 

Knowledge, Skills & Abilities: 

  • Must possess advanced proficiency in MS Word, Excel, PowerPoint, and Outlook.
  • Prefer knowledge of corporate business processes and procedures such as expense reporting, scheduling, and purchasing.
  • Communication skills are necessary to screen and route calls and make inquiries regarding business processes and schedules.
  • Interpersonal skills are necessary to greet visitors, customers, and business partners or make inquiries and clarify information.
  • Attention to detail is necessary to ensure that information is accurate and correct, documents are grammatically correct, and work is completed in a timely manner.
  • Organizational skills are necessary to prioritize and schedule work activities of self and others and balance multiple assignments with limited direction.
  • Must be able to maintain strict confidentiality.

Preferred Qualifications 

Education:  

  • High School Graduate or General Education Degree (GED) is preferred. 

 Experience:  

  • Minimum 2+ years administrative/secretarial experience required, or relevant experience preferred.

Knowledge, Skills & Abilities: 

  • Able to communicate information and instructions verbally and/or via radio equipment. 
  • Able to communicate effectively in a professional manner. 

Working Conditions 

Work Schedule: 

  • Monday – Friday, 8:00am – 5:00pm
  • You will need to have the flexibility to work a variety of shifts, including nights, weekends, holidays, and overtime.

Work Environment: 

  • Ability to work under pressure and handle stressful situations. 
  • Must be able to be alert to moving vehicles and use radio equipment.  
  • Employees work inside the Delta Air Line corporate offices. Utilizes a personal computer. May sit for long periods. 
  • Exposure to moderate noise (i.e. business office with computers, phones, printers, and foot traffic), temperature and light fluctuations.  

Physical Demands/Requirements: 

  • Must be able to work in a fast-paced and exciting environment.   
  • Must be able to lift/carry / push/pull and move items of 70 pounds and/or more on a regular basis and repetitively lift weights of 40 to 50 pounds on raised surfaces. 
  • Must be able to walk, climb, bend, kneel, crawl, and stoop on a frequent basis and for extended periods. 
  • Must be able to work in cramped or high places.
