Position Summary:

Reporting to the Manager, Inventory & Disposal Services, this position provides support and guidance to the Management team of Terminal Infrastructure on all facets of inventory management ensuring that equipment parts and components are properly handled and available to the Technicians. This role will require interpretation of data and the ability to provide decision making analytics and support to the Managers. Inventory Specialist will also be responsible to provide in depth technical knowledge of PBB/BHS and in co-operation with Procurement to obtain and maintain Service Level Agreements with vendors.

Key Accountabilities:

  • Listen to customer concerns, effectively diffuse dissatisfaction, and quickly identify course of action with a goal of first call resolution within established turnaround times
  • Analyze/maintain/reconcile various customer reports to ensure customer and functional system parts and materials requirements are met
  • Provide system administration, technical and process support to functional system owners and specialists to build required parts and materials inventory requirements and/or stock levels for projects and system improvements, and identify and maintain inventory lists for rotatable and critical spare parts
  • Liaison with purchasing, warehouse and system partners to optimize inventory balance within the onsite warehouse/store locations and off-site vendor led inventory requirements
  • Reconcile critical customer accounts where inventory levels are skewed, and obsolescence exists
  • Support and coordinate kitting and staging of parts and materials for planned work orders within stores location
  • Responsible for categorizing and classifying parts correctly to ensure it can be easily identified by Technicians as well as preventing the inventory of duplicate parts
  • Complete reports for the daily budget, depletion, obsolete and slow moving parts to machinery and assist with developing the annual maintenance budgets by providing reports and knowledge of historical data related to inventory usage
  • Define and implement procedures using Best Practices, SOP’s & work instructions. Take direction from Site Supervisor/Manager regarding daily duties
  • Perform order entry, order expediting, customer service call resolution, return goods authorization, processing of back orders
  • Perform audits of customer parts and material storage locations including on site replenishment programs
  • Audit and support receiving, put-away, stock rotation, cycle counts, and other functions according to customer requirements
  • Responsible for the creation and upkeep of asset templates used to ensure consistency of asset groups within the department
  • Provides support to Inventory Manager on new and existing inventory locations, ROP and EOQ levels to optimize procurement strategies
  • Assists with inventory strategy such as risk led spares, obsolete inventory, ad-hoc stock, zero cost inventory, and vendor led spares
  • Support the build of new warehouses and satellite/mobile stores in support of inventory strategy
  • Source PBB/BHS specific materials and parts aligned with Inventory and Procurement strategies
  • Monitor vendor performance and adjust or investigate alternative vendor opportunities as required. Work with Inventory Management and Procurement team when initiating contract recommendations
  • Investigate various vendor products to streamline similar purchasing where possible while maintaining system partner technical requirements and specifications
  • Resolve invoicing issues and work in tandem with Inventory Planner, Associates and Procurement to maintain records and rectify issues related to payment
  • Preparation of purchase requisitions for repairable inventory items, blanket agreement releases and emergency purchases with credit card
  • Analyze and monitor non inventory demands (bench stock/project work) to establish the best purchasing, receiving and delivery strategies
  • Use electronic inventory system to monitor and report on inventory levels, financial transactions and maintains accurate records
  • Use Inventory system to track and report on asset management information specific to inventory turns, usage, levels and cost
  • Apply knowledge of maintenance principles, practice and procedures of a PBB/BHS operation to monitor, report and make recommendations related to inventory additions, improvements, efficiencies and costs
  • Provides reporting procedural input to support and show stock-outs, inventory turns, inventory distribution, average procurement cycles, growth, shrinkage and any other factors to assess inventory performance objectives

Qualifications:

  • Possess at a minimum High School Diploma/GED or degree/certificate in Inventory Management.
  • 5 years’ inventory and purchasing experience related specific to PBB/BHS parts and materials
  • Five years relevant experience airport maintenance and materials inventory management, preferred
  • 5 years’ technical trade and /or mechanical maintenance experience in manufacturing environment or Airport facilities
  • Valid Ontario Driver’s License
  • Mechanical or other skilled trades licenses considered an asset
  • Able to obtain a Forklift Operator License/Certification (in house training) and D/A AVOP license within 30 days of appointment
  • Able to obtain and retain a Transportation Security Clearance

Knowledge, Skills and Abilities: 

  • Highly organized with the ability to create logical systems for hierarchical breakdown
  • Applies knowledge of maintenance principles, practice and procedures for a warehouse supporting PBB/BHS. Monitor, report and make recommendations related to inventory additions, improvements, efficiencies and costs affecting bottom line inventory overhead, usage and asset lifecycle costs
  • Expertise in procedures as outlined by Best Practices, SOP’s and work instructions in the industry
  • Experience capturing, communicating, delivering and explaining inventory site specific or functional system parts and materials management performance measurements
  • Strong technical understanding of parts and materials specific to various PBB/BHS Equipment and systems and must possess the ability to analyze system components to evaluate part specifications and requirements
  • Experience with inventory audits and in developing inventory strategies to reduce costs, shorten procurement cycle and increase asset availability
  • Highly effective reviewing, analyzing and interpreting clients' requirements to choose the appropriate procurement method, locating and selecting suppliers.
  • Experience in preparing Requests for Quotation, Requests for proposals, for credit card purchase, service contracts, purchase orders and releases for client requirements
  • Highly effective in collaborating and obtaining quotations for material and or service
  • Able to apply sound judgment and decision-making skills in dealing with a variety of routine and non-routine issues
  • Expanded tactical thinking that considers the impact on the broader organization
  • Ability to independently make decisions to meet and exceed customer requirements; operate and adapt to unfamiliar or changing processes
  • Intermediate level proficiency in MS Excel, MS Word, and EAM (Maximo experience highly preferred)
  • Able to communicate effectively both verbal and written with strong interpersonal skills
  • Possess excellent computer and mathematical skills
  • Knowledge and understanding of Transport Dangerous Goods Act Regulations and WHMIS requirements
  • Knowledge and understanding of airport PBB/BHS equipment and related maintenance requirements
  • Able to lift up to 50 lbs and push or pull up to 40 lbs
