Fuel Logistics Specialist Job description

This position provides focused leadership for the Customer Service and Logistics teams in support of their delivery of superior customer service and inside sales functions for the various lines of business within EPIC Fuels. The position includes constant communication and independent coordination with internal and external customers and vendors.

Job Responsibilities

Essential Duties and Responsibilities:

  • Oversees the training and development of new Fuel Logistics Representatives to ensure effective understanding of systems, processes, and operation of EPIC’s bulk fuel business.
  • Provides consistent feedback and training to team members when errors are identified, or new situations arise ensuring EPIC is consistently developing its team into an industry leading logistics group.
  • Leads the coordination of special project logistics confirming that the safe, efficient, and timely delivery of fuel meets the requirements of our customers through multiple logistics channels typically outside of the normal day to day operational requests.
  • Understands the financial and operational impact of utilizing alternate sources and logistics and proactively alerts sales, transportation, and operations when these issues arise working to minimize additional costs to the company and its customers.
  • Identifies opportunities within the supply and carrier portfolio to optimize performance and profitability by coordinating alternate supply points or price advantaged logistics when the market is conducive to these situations. Understands the impact of these decisions on carrier and supplier relations.
  • Proactively reviews and monitors daily orders identifying potential operational risks, errors, and constraints with suppliers and carriers to ensure best possible operational performance for our customers.
  • Maintains operational performance data daily and provides monthly report and presentation to EPIC leadership team focusing on root cause analysis of errors and deficiencies with a focus on corrective action and continuous improvement.
  • Facilitates and leads weekly operations meetings with EPIC’s largest customers to ensure internal and external issues are being addressed promptly while proactively mitigating risks before they become operational challenges.
  • Close coordination with EPIC Billing team to ensure all required documents, pricing, and other details are collected from various internal and external sources in support of prompt and accurate invoicing to EPIC customers.
  • Accurately takes new orders and dispatches accordingly in the support of the GA and Commercial strategies by balancing Epic margin with customer value, closely monitoring and influencing daily pricing decisions, and ensuring customer service expectations are met or exceeded 100% of the time
  • Works closely with GA and Commercial Sales Managers to ensure pricing strategies are being executed appropriately to achieve margin goals. Advises relevant parties immediately on any supply or trucking constraints that may adversely impact service and /or financial operations.
  • Manages daily delivery schedule, via open, constant communication with both carrier and customer to ensure on-time deliveries, in agreeance with company standards.

  • Job Qualifications
  • Minimum Experience and/or Education (including degrees, certificates, licenses, and registrations):
  • Bachelor’s degree with an emphasis in logistics or supply chain management; or a minimum of 3-5 years equivalent experience in related positions and/or training; or equivalent combination of education and experience.
  • Prior dispatch experience or working knowledge of delivery/dispatch management and experience with multi-state logistics preferred.
  • Fuel and/or General Aviation experience are a plus
  • Able to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, are, circumference, and volume.
  • Possess good analytical skills. Able to apply common sense understanding to define problems, collect data, establish facts, and draw valid conclusions.
  • Proficient in Microsoft Office Skills (Word, Excel, Outlook, and PowerPoint)
  • Possess excellent organizational, planning, and time-management skills
  • Self-motivated with ability to work both independently and within teams in order to establish and meet guidelines, goals, and objectives.
