Administrative Assistant Job description

The Administrative Assistant will support the General Manager in all aspects of station administration

Essential Responsibilities

· Prioritize daily tasks and coordinate meetings/appointments and email inbox management

· Follows-up on telephone messages and emails

· Order all station supplies and monitors inventory

· Coordinate and assist the Fun Committee activities

· Maintain information databases including all master contact lists and other resource material

· Hosts guests and business partners and coordinates hotel and travel arrangements for town VIP·

· Plans and organizes meetings/appointments/conferences; create meeting agendas and records meeting minutes

· Provide general administrative support such as handling the mail, screening and directing calls, managing calendars, making travel arrangements, creating/approving expense reports, and other tasks

· Provide support to leadership with the preparation of daily bank deposits for all cash generated at the airport by JetBlue

· Ensure that all work and documentation meet the standards of JetBlue

· Other duties as assigned.

Minimum Experience and Qualifications

· High School Diploma or General Education Development (GED) Diploma

· Two (2)years of Airline Experience

· One (1) year of experience as an Administrative Assistant or Office Manager

· Proficient with Microsoft Office suite

· Strong attention to detail

· Available for occasional overnight travel (10%)

· Able to pass Airport Operations initial training

· Valid travel documents with the ability to travel in and out of the United States

· Strong interpersonal and listening skills

· Complete fluency in written and spoken English

· Must be able to adhere to JetBlue Uniform Policy Manual Standards

· Able to travel and/or work variable hours, and flexible shifts, including holidays and weekends

· Experience using a mouse, computer, keyboard, and basic word processing, email and office applications

· Must be able to use handheld radios and microphones to communicate with operations and make all terminal announcements

· Must be able to acquire and maintain a valid Security Identification Display Area (SIDA) Badge

· Experience performing under pressure and within fixed time constraints

· Depending upon location, may need to possess and maintain a valid Driver's License and a driving record that meets JetBlue Airways’ insurance standards

· Depending on location, may need to acquire and maintain a United States Customs Clearance

· Excellent problem-solving skills

· Ability to maintain a positive, good mature attitude in a high-pressure environment

· Must be able to acquire and maintain an Airport badge

· Pass a ten (10) year background check and pre-employment drug test

· Legally eligible to work in the country in which the position is located

Preferred Experience and Qualifications

· Experience working with various forms of payment (cash, credit cards, traveler's checks, etc.)

· Excellent verbal and written communication skills

· Excellent organizational and analytical skills

· Knowledge of organizational dependencies and interdepartmental coordination and operational relationships

· Knowledge of basic accounting terms

Crewmember Expectations:

· Regular attendance and punctuality

· Potential need to work flexible hours and be available to respond on short-notice

· Well-groomed and able to maintain a professional appearance

· When working or traveling on JetBlue flights, and if time permits, all capable crewmembers are asked to assist with light cleaning of the aircraft

· Must be an appropriate organizational fit for the JetBlue culture, that is, exhibit the JetBlue values of Safety, Caring, Integrity, Passion and Fun

· Promote JetBlue’s #1 value of safety as a Safety Ambassador, supporting JetBlue’s Safety Management System (SMS) components, Safety Policy, and behavioral standards

· Identify safety concerns, issues, incidents, or hazards that should be reported and report them whenever possible and by any means necessary including JetBlue’s confidential reporting systems (Aviation Safety Action Program (ASAP) or Safety Action Report(SAR)

Physical Effort:

· Light physical effort is required by handling objects up to 20 pounds occasionally and/or up to 10 pounds frequently. (Light)
